The short version

  • One chatbot covers most text tasks. ChatGPT, Claude or Gemini, around 20 euros or dollars a month or free with limits. Which one is secondary.
  • Specialist tools only where the chatbot can't reach: flows between apps, social media scheduling, transcription, voice, video.
  • The difference is not the tool but the fixed routine: a briefing, a template, a flow that runs the same way every time.
  • Start with the most frequent task, not the biggest. Below is how to recognize it.

Task by task: which tool fits

The tasks come from my work with freelancers, consultants, coaches and trainers.

What the table shows: for most tasks one chatbot is enough; you just need a different briefing for each task. The biggest time savings come from scripts and fixed flows, even though they contain the least AI.

What a month costs

It depends on how much you work with the tools. Prices as shown by the providers on October 24, 2026, for individuals, in euros from the German pricing pages; n8n and Metricool show dollar prices to US visitors. Claude and Metricool list their prices excluding VAT, which is noted each time.

The base is always one chatbot. Specialist tools like n8n and Metricool are only needed if the task actually comes up for you.

Getting started: one chatbot, free or around 20 euros

One chatbotChatGPT, Claude or Gemini for emails, proposals, documents and minutes, free with limits or as a subscription€0 or around €20
Only if the task comes up for you:
n8n Starterfor flows between programs+ €20
Metricool Starterfor several social channels, plus VAT+ €16

Trying things out costs nothing: ChatGPT, Claude and Gemini are free with limits, Metricool has a free plan and n8n a free trial.

Heavy use: a top-tier plan for ChatGPT, Claude or Gemini, from about 100 euros

If you work with AI for long stretches every day, write code, work with video or voice, or look after several clients and brands, you hit the usage limits of the entry plans. That is when the bigger plans come in:

A top-tier plan for ChatGPT, Claude or GeminiClaude Max from 90 euros plus VAT, Google AI Ultra from 99.99 euros or ChatGPT Pro from 103 eurosfrom about €100
Only if the task comes up for you:
n8n Profor many flows: 10,000 instead of 2,500 executions a month+ €50
Metricool Advancedfor client work: up to 15 brands, team and approvals, plus VAT+ €43

Depending on the plan and the modules, that comes to about 100 to 300 euros a month or more. Where you end up depends on how much you work and which tasks you have, not on which tool you pick. Start at the entry level and move up only when you keep hitting limits. What I use myself and why is in my AI stack.

In a team or with automations

The prices above are for one person. For teams, and for AI inside automated flows, the providers charge differently. As of October 25, 2026, prices as shown by the providers, in euros from the German pricing pages; Anthropic and Google list them excluding tax.

In a team you pay per person and get central admin and billing on top:

PlanPer person per monthTraining on your content
ChatGPT Businessfor 2 to 200 people21 euros billed annually, 26 euros monthlyoff by default, per OpenAI
Claude Teamfor 2 to 150 people18 euros billed annually, 21.04 euros monthly, plus VAToff by default, per Anthropic
Google Workspace Business Standardwith Gemini in Gmail, Docs, Meet and other apps, for 1 to 300 people13.60 euros with an annual commitment, 16.20 euros flexible, plus taxnot without your permission for models outside your domain, per Google

Google's smaller Business Starter plan (6.80 euros with an annual commitment, per Google) includes Gemini in Gmail only. All three say they offer a data processing agreement: OpenAI to sign, Anthropic and Google as part of their business terms. Whether that is enough for your data is something to settle with your lawyer or data protection officer. Larger companies get enterprise plans: OpenAI and Google quote prices on request, Anthropic lists 20 dollars per seat per month plus usage at API rates, from 20 seats.

With automations: if AI works inside n8n or a script of your own, that does not run through your subscription but through the provider's programming interface (API). It is billed by usage, in tokens, separately from the subscription: ChatGPT Plus and Claude Pro include no API usage (per OpenAI and Anthropic). Per Anthropic, Claude Max includes a monthly API credit of 100 or 200 dollars and Claude Team 20 dollars per standard seat, capped at 500 dollars. For scale: Claude Sonnet 5.5 costs 2 dollars per million input tokens and 10 dollars per million output tokens. On n8n Cloud (Starter and Pro) you can do without your own API key: you pay for the AI steps from a balance with n8n, the “Gateway credits”.

Set a ceiling first: in the Claude Console your own spend limit, at OpenAI prepaid credit with automatic recharge switched off or capped, since it is on by default. Per OpenAI, usage does not always stop the moment the balance runs out.

How to tell a task is ready

Not every task deserves a tool. The ones that do share four traits:

  • It keeps coming back, every week or with every client.
  • It costs noticeable time, even if each single round is small.
  • It always follows the same rules, you could explain it to someone in ten minutes.
  • You can see at once whether the result is right, on first reading or listening.

Three out of four and it is ready. If the fourth is missing, build the check first, then the tool.

Where to start

  1. Pick the most frequent task

Not the biggest. The one that costs you time every week and always runs the same way.

  2. Write the briefing once

Role, task, style, format, taboos. Plus three examples of your own. How to do it is in the guide to your own AI assistant.

  3. Make the flow fixed

Where does the briefing live, where the template, when does it run? Only then is it a routine rather than a one-off.

If you would rather not do it alone, it comes as guided work: AI for freelancers describes the path, the AI Workflow Sprint the format.

Frequently asked questions

For most tasks ChatGPT, Claude and Gemini differ little; they take turns at the top. What matters is your tasks, the programs you already work with and what may happen to your data. How to decide is in the guide “ChatGPT, Claude or Gemini? The Task Decides”.

One chatbot with a fixed briefing for everything that is text. Plus only the specialist tools whose task actually comes up for you: n8n for flows between programs, Metricool for several social channels, a transcription tool for calls. Voice, video and music are needed by very few.

It depends on how much you work with it and which tasks come up for you. The base is one chatbot: free with limits or a subscription for around 20 euros or dollars a month. Specialist tools are only added if the task comes up, for example n8n Cloud for 20 euros or dollars, or Metricool from 16 euros plus VAT billed annually. If you work with it for long stretches every day, write code, work with video or voice or look after several clients, you need a top-tier plan for ChatGPT, Claude or Gemini from about 100 euros, for example Claude Max from 90 euros plus VAT, Google AI Ultra from 99.99 euros or ChatGPT Pro from 103 euros; with the bigger plans of the specialist tools it comes to about 100 to 300 euros and more. Prices as shown by the providers on October 24, 2026.

Not with ChatGPT: per OpenAI, the API is billed separately from the ChatGPT subscription, by usage. With Claude it depends on the plan: Pro includes no API usage, Max per Anthropic a monthly API credit of 100 or 200 dollars, Team up to 500 dollars depending on seats. If that is not enough, you buy more credit. You need the API when AI works inside flows, for example in n8n; on n8n Cloud that also works without your own key, via n8n's own credit. As of October 25, 2026.

For trying it out and occasional texts, yes. Once you work with it daily, upload files or want a set-up assistant with more than five templates, you hit the limits of the free plan. Then the subscription pays off, whichever of the three providers you pick.

Not as a prerequisite. What counts in daily work you learn faster on your own tasks than in a general course. What AI literacy means in practice and what the responsible authorities say about certificates is in the guide “AI Literacy: What Freelancers Really Need”.

Which data you may put into which tool is something to settle with your lawyer or data protection officer; I don't assess that. What the providers do with your chats and how to switch training off is in the guide “ChatGPT, Claude or Gemini”, with sources. For transcription there is a route with Voicebox that runs entirely on your own machine.
